This notice explains what personal data SndSign processes, why, and what your rights are. We keep it short and plain.
1. Who we are
SndSign is run by INFINCUBE d.o.o., Cesta v Gorice 34C, 1000 Ljubljana, Slovenia. We are the controller for this website, the waiting list and SndSign accounts.
When a customer sends a Signing Request, the customer decides what is in it and who signs. For that content we act as a processor on the customer's behalf, under a data processing agreement.
2. What we collect
- Waiting list: your email address. As a record of your consent, we also keep when you joined and confirmed, the IP address and browser details of both steps, the page you joined from, and the campaign tags of the link that brought you there, if it had any.
- Account: your name, email address and organisation.
- Signing Requests: the documents, the names and email addresses of recipients, signatures and initials, and the evidence of each step: what happened and when, with the IP address and browser details of each step.
- Website and app: technical logs needed to run and secure the service.
- Website analytics, only if you accept: pages you visit, how you got to them, your device and browser type, and your approximate location. We use Google Analytics for this on our website only, never on signing pages or in the app.
3. Why we use it, and on what basis
- To tell you when SndSign opens, if you join the waiting list: your consent. You can withdraw it at any time.
- To be able to show that you agreed to join the waiting list: our legal obligation to prove consent.
- To provide your account and your Signing Requests: our contract with you.
- To keep evidence, prevent misuse and secure the service: our legitimate interest in a service that can be trusted.
- To see how our website is used and improve it, if you accept analytics cookies: your consent.
- To keep invoices and meet other legal duties: legal obligation.
We don't sell personal data, we don't use it for advertising, and we don't track signers.
4. Who processes it for us
- domenca.com hosts this website and the waiting list in Slovenia, and for now sends the waiting-list emails.
- Google Cloud hosts SndSign in Frankfurt, Germany.
- Twilio SendGrid sends our emails, such as Signing Requests and notifications.
- Google Analytics measures visits to our website, only if you accept analytics cookies.
They act only on our instructions. Some of them are US companies or part of US groups: where data could leave the EU, the transfer is covered by the EU Standard Contractual Clauses or the EU-US Data Privacy Framework.
5. How long we keep it
- Waiting list: until you unsubscribe, or 12 months after SndSign opens. If you don't confirm your email address, we delete it after 30 days.
- Account data: while your account is open. When you close it, we keep it 30 days in case you change your mind, then delete it. Copies in our backups are removed within a further 30 days.
- Completed documents and evidence: as long as the customer keeps them in SndSign.
- Website analytics: 14 months.
- Invoices: 10 years, as Slovenian tax law requires.
6. Cookies
Necessary cookies are always on. Analytics cookies are set only if you accept them, and only on our website. Our cookie policy lists every cookie and how to change your choice.
7. How we protect it
Data is encrypted in transit and at rest, and only staff who need it to run the service can access it.
8. Your rights
- See the data we hold about you, and get a copy.
- Have it corrected or deleted.
- Object to or restrict how we use it.
- Withdraw consent at any time.
- Complain to the Information Commissioner of the Republic of Slovenia (Informacijski pooblaščenec), Dunajska cesta 22, 1000 Ljubljana.
If you signed a document a customer sent you, we may pass your request to that customer, since they decide about that content.
9. Children
SndSign is not meant for people under 18.
10. Changes
When we change this notice, we update the date above. For important changes, we tell account holders by email.
